Solution
Appointment booking that confirms only when your system does
The problem: scheduling is where calls stall
Booking a service visit usually means matching the customer's needs with a service area, an appointment type, and a crew's day. Doing it over several messages is slow, and doing it carelessly creates double bookings.
The risk with any automated booking is promising a slot that doesn't exist. TalkLara is designed around avoiding that: the caller hears "you're booked" only after the system says so.
What the workflow does
- Determines whether the request is eligible for booking under your rules.
- Requests available windows for the right appointment type and service area.
- Offers a small set of options to the caller and records their choice.
- Attempts the booking in the connected system.
- Confirms to the caller only when the system reports success.
- Falls back to a callback request or transfer if booking fails.
Example
Step by step: booking and a conflict
- 1
Check eligibility
Service type and address meet your booking rules.
- 2
Request availability
TalkLara asks the scheduling system for open windows.
- 3
Offer options
The caller chooses a window.
- 4
Attempt the booking
The booking is sent to the connected system.
- 5
If it succeeds
The agent confirms and the details are recorded.
- 6
If it fails
Another team member or the same slot was taken. The agent doesn't confirm, offers other windows or takes a callback request.

Exceptions & handoff
When things don't go to plan.
Every workflow has edge cases. These are the ones to plan for.
- No available window: the agent offers a callback or the next best option.
- System error or timeout: the agent does not confirm the booking and follows your fallback.
- Ineligible request: the call is routed to a person.
- Caller wants to change or cancel: handled according to the capabilities of your integration; otherwise handed to a person.
FAQ
Frequently asked questions
Can TalkLara book into my calendar or CRM?
It depends on the tool. Each integration's status and capabilities are documented on the integrations page. If your tool isn't supported, TalkLara can still capture a full request and send it to your team.
How does it avoid double bookings?
By requesting availability from your scheduling system and confirming only after the system accepts the booking. How strongly conflicts are prevented depends on the system's own behavior, which we review during setup.
Can callers reschedule or cancel?
Where the integration supports it. Otherwise those requests go to a person.
Does it quote arrival windows?
Only windows your scheduling workflow provides.
